Staff Chairs

For regular desk work, prioritize adjustable seat height, supportive lumbar contact, a comfortable seat cushion and a backrest that allows natural movement. Adjustable armrests, seat depth and tilt tension can improve fit for a wider range of employees. The required feature level should reflect how long the chair is used and whether it is assigned to one person or shared.

Start by adjusting the seat height so your feet rest securely on the floor and your arms can reach the keyboard without raising your shoulders. Set the armrests low enough to fit beneath the desktop where necessary, then adjust the lumbar support and tilt resistance. The chair and desk should be evaluated together because the correct chair setting depends partly on the desktop height.

Adjustable lumbar support helps the backrest make more appropriate contact with the user’s lower back. Depending on the chair model, its height, depth or support intensity may be adjusted. The support should feel steady without pushing the user too far forward, and it should be set according to individual comfort rather than one fixed position for everyone.

Seat-depth adjustment allows the seat to support users with different leg lengths more appropriately. The user should be able to sit against the backrest without the front edge of the seat pressing into the back of the knees. This feature is especially useful when one chair model is being specified for employees with a wide range of body sizes.

Height-adjustable armrests provide basic support and can help the chair fit different desk heights. Armrests with additional width, depth or angle adjustment offer more flexibility for keyboard, mouse and mobile-device use. They should support the forearms without forcing the shoulders upward or preventing the chair from approaching the desk.

A mesh backrest allows airflow and can be comfortable in warm offices or climates. Its comfort depends on the quality and tension of the mesh, the backrest shape and the lumbar-support design. For the seat, some users prefer supportive foam cushioning, while others may choose a mesh seat; the better option depends on the chair construction and personal preference.

The tilt mechanism allows the user to change posture instead of remaining in one fixed position. Depending on the model, the chair may offer free recline, adjustable tilt tension or several locking positions. The user should understand the controls and select a resistance that allows smooth movement while still feeling supported.

Not necessarily. A headrest can provide additional neck and head support when reclining, but it may be unnecessary for users who remain upright during task-focused work. If a headrest is required, check whether its height and angle can align with different users rather than assuming a fixed headrest will suit everyone.

Caster selection should match the floor surface and the amount of movement required. Some casters are designed for carpet, while softer or floor-friendly casters may be preferred for wood, vinyl or other hard surfaces. Chair mats can also be considered where the floor needs additional protection. Confirm the caster option available for the selected chair model before ordering.

Define the expected daily use, employee body-size range, desk height and project budget first. Shortlist chairs with the required adjustments, then compare comfort, ease of operation, materials, replaceable parts and visual compatibility with the workspace. For a large project, evaluating samples before confirming the final model can reduce the risk of selecting a chair based only on appearance or price.
